Milestones Achievers Academy ("the Center," "we," "us") is a licensed childcare center that uses Rellim OS software to manage enrollment, billing, and family communications. This Privacy Policy explains what information we collect, how we use it, and the choices you have.
Information we collect
Child information provided by the Center or you: name, date of birth, classroom, allergies, medications, doctor and emergency contacts, immunization notes, pickup codes, attendance/check-in records, and daily activity notes.
Photos and videos that Center staff post to share a child's day. These are visible only to the Center's authorized staff and to the parents/guardians of children in the relevant classroom.
Parent, guardian, and staff information: name, email address, phone number, home address, relationship to the child, and account sign-in details.
Billing and payment information: invoices, tuition and fee amounts, payment history, and account credits. Card and bank details are entered directly into our payment processor (Square) and are stored by that processor, not by the Center. We receive only a confirmation and a limited reference (such as the last four digits and a payment token).
Usage and device information: basic technical data (such as log and diagnostic information) used to operate and secure the service.
How we use information
To provide our features: enrollment, attendance and ratios, daily sheets, class updates, messaging, and safety/compliance records.
To process tuition and fee payments, generate invoices and receipts, apply credits, and (only if you enable it) run authorized automatic payments.
To send account, billing, and Center communications by email and text message — for example, your sign-in code, payment reminders, and announcements.
To keep the service secure, prevent fraud, troubleshoot problems, and comply with legal obligations.
We do not sell your personal information, and we do not use children's information for advertising. Children's information is used only to provide childcare and school services at the direction of the Center.
SMS / Text Messaging & Mobile Information
With your consent, Milestones Achievers Academy collects your mobile phone number in order to send you account and informational SMS text messages: tuition and payment reminders, secure payment links, billing updates, closure and event announcements, and parent-portal sign-in links. You provide express consent by checking a consent box in the parent portal at childcare-connect360.app during enrollment, or by signing the Center's enrollment/consent form. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. Consent to receive text messages is not a condition of enrollment or purchase.
Your mobile phone number and SMS opt-in information are used solely to send the messages described above. We use this information only to operate Milestones Achievers Academy's messaging with you and for no other purpose.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We do not sell, rent, or share your SMS opt-in data, mobile phone number, or personal information with third parties for marketing purposes.
To stop receiving text messages at any time, reply STOP; for help, reply HELP or contact the Center. You may also ask the Center to remove your mobile number from text messaging.
How information is shared
With the Center and its authorized staff, so they can care for your child and manage your account.
With service providers who help operate the service under confidentiality obligations: our database and hosting provider (Supabase), our payment processor (Square), our SMS provider (Twilio), and our email delivery provider. These providers may process data only to perform services for us. Mobile opt-in data is not shared with any third party for marketing.
For legal reasons, when required by law or to protect the rights, safety, and security of children, families, staff, or the public.
In a business transfer, such as a merger or acquisition, subject to this Policy.
Children's privacy
Our apps are used by adults (Center staff and parents/guardians). Information about children is provided and controlled by the Center and the child's parents/guardians, and is used solely to deliver childcare and school services. If you are a parent or guardian and would like to review, correct, or request deletion of your child's information, please contact the Center.
Data retention
We retain information for as long as your account is active and as needed to provide the service, and thereafter as required to meet legal, tax, and recordkeeping obligations or to resolve disputes. When information is no longer needed, we delete or de-identify it.
Security
We use encryption in transit, access controls, and role-based permissions so that people see only the information they are authorized to see. Payment card data is handled by our payment processor and is not stored on our systems. No method of transmission or storage is completely secure, but we work to protect your information.
Your choices
You can update your contact details in your account or by contacting the Center.
You can turn automatic payments on or off, and remove a saved card, at any time in your portal.
You can stop text messages at any time by replying STOP, or ask the Center to remove your number.
You can ask the Center to access, correct, or delete your information.
Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the effective date above and, where appropriate, provide additional notice.
